FOR IMPORTERS & DISTRIBUTORS
A multi-SKU order is easier to control when every body, lid, artwork and pack is identified before production. Golmate helps sourcing teams turn a mixed drinkware range into a traceable specification and approval conversation.

01 / PROCUREMENT CONTROL MAP
01 — IDENTIFY
Create one row per product and variant: reference, capacity, body, lid, finish, logo and pack version.
02 — APPROVE
Link the signed-off physical sample to the matching specification, artwork and revision date.
03 — CHECK
Agree which features are checked for that SKU and where results or exceptions are recorded.
04 — RECEIVE
Connect unit pack, carton marks, carton quantity and receiving information to the same SKU ID.
An importer often evaluates a range, not one hero item. A quotation is easier to compare when every supplier receives the same SKU-level scope. Separate the fixed requirements from options still under review, and identify where a change in lid, finish, decoration or pack creates a different configuration.
The supplier can then identify what is included, what requires a feasibility discussion and which assumptions affect the response. That is more useful than a single price against an incomplete photo.
02 / THE WORKING FILE
A single unversioned photo or quotation does not replace a usable specification. Review the supplier audit checklist →

03 / EXAMPLE CONTROL LEDGER
This is a suggested record structure for a purchasing team, not a claim that every project requires the same documents.
| Record | Buyer decision | Evidence to keep |
|---|---|---|
| Product configuration | Body, lid, gasket, accessories and revision | Approved specification and sample reference |
| Brand execution | Colour, finish, artwork and position | Signed artwork file and physical-sample note |
| Quality scope | Critical features and exception handling | Agreed inspection criteria and review record |
| Pack-out | Unit pack, carton count and marks | Approved packing instruction and carton artwork |
Do not wait until finished cartons exist to decide what an inspection should look for. Agree the critical features of each approved configuration, how exceptions are recorded and who can accept or reject a change. A body finish, lid function, logo position and unit-pack contents are different evidence questions; they should not be compressed into one generic ‘quality passed’ statement.
Tie the inspection scope to an approved physical sample or specification, the correct SKU and the latest revision. Identify any buyer-required material or performance documents for the destination market.
Check the unit pack, included parts, carton identification and quantities against the approved packing instruction. A visually correct item can still create receiving problems if the outer information is wrong.
Use the quality-control overview and supplier audit checklist to frame questions; the actual criteria must be agreed for the product and order.
04 / EXCEPTION HANDLING
A lid, gasket, straw or handle substitution should be compared with the approved assembly.
A coating, colour or decoration revision can affect the approved visual reference.
A different insert or carton configuration can affect product restraint and receiving details.
Document the decision, owner and revised approval reference before using the change in production planning. See how to record sample decisions →
Only where the differences have been reviewed and documented. A different lid, coating, accessory or pack can change the checks needed for that variant.
Provide the SKU list, reference models or drawings, target use, component and finish requirements, destination market, packaging format and any buyer-specific quality or documentation requirements.
The buyer and supplier should agree measurable criteria for the approved configuration before the inspection. This page does not imply a single test protocol covers every product or market.
The purchasing record should not end at shipment. Capture receiving discrepancies, carton identification issues, component mismatches and buyer feedback against the exact SKU and version. Separate an isolated packing error from a requested design change so the next order does not silently inherit a workaround.
Before a repeat order, compare the prior approved sample, specification, artwork and carton instructions with the new brief. If a distributor requests a different label, market document or accessory, decide whether the existing approval still applies. Record the owner of each decision and the reference that will travel with the order.
This version-controlled feedback makes a multi-SKU programme easier to review without claiming that every market or customer follows an identical documentation process.
Send the current SKU list, destination market and open questions. We can discuss the product, sample and pack records needed for a clearer sourcing handoff.
