REORDER CONTROL / APPROVED PRODUCT BASELINE
A reorder should reproduce the approved product—not just the last product photo. For branded drinkware, an unrecorded change to a lid, finish, artwork or carton can change the customer experience. Use this buyer framework to define the master SKU, trace revisions and decide when a review is needed.
ONE PRODUCT RECORD. THREE CONTROL LAYERS.
◇ PHYSICAL REFERENCE
Approved product sample with its body, lid, gasket and visible finish direction.
◌ DIGITAL REFERENCE
Specification, colour, artwork and packaging files tied to the same SKU and revision.
▣ COMMERCIAL REFERENCE
Variant quantity, carton information and destination-market notes for the released order.
A revision is not automatically a problem, but it must be visible. Record the old specification, proposed change, affected SKU, reason, review evidence, decision owner and effective order reference. This lets procurement and receiving teams distinguish a new version from an unapproved substitution.
FUNCTION
Lid geometry, seal, straw, mouth opening or cleaning access. Ask whether a new sample or documentation review is needed.
BRAND
Colour, coating, logo position, artwork or decoration process. Compare against the agreed appearance baseline.
PACK + RECEIVING
Unit box, carton quantity, marks, barcode or protective insert. Check the retail and warehouse handoff.
For a controlled change that does not alter the agreed product features, record the revised file, decision owner and effective order reference.
For colour, finish, logo or packaging changes, compare the proposed item against the approved visual baseline and record any acceptance conditions.
For a component, closure, material or food-contact-path change, decide whether a fresh sample, fit check or documentation review is needed.
See sample approval and food-contact documentation for the linked review questions.
CHECK
Confirm the product configuration, appearance, packaging and carton identifiers against the released reference.
RECORD
Keep any discrepancy tied to the affected SKU and lot, with clear photos and order context.
IMPROVE
Bring the resolved record into the next reorder discussion rather than leaving it in an isolated email thread.
Provide the previous product or order reference, approved sample and current file revisions, quantity by variant, destination market and any requested change. If no reliable master record exists, treat the request as a renewed product review rather than assuming an old photo can reconstruct the configuration.
