BUYER PLAYBOOK / BEFORE THE PRODUCTION DECISION
Turn “the sample looks good” into a documented decision. Confirm what the sample represents, review the actual product, and keep the approved configuration and files together.

BEFORE YOU OPEN THE PARCEL
A model reference, customized sample and final approval reference may look similar. Their purpose and non-final details should be stated before the review begins.

| Sample purpose | What it can help confirm | What not to assume |
|---|---|---|
| Direction / reference | General form, scale, capacity direction, lid or carry experience. | That every material, finish, logo or included component is the final project specification. |
| Project / custom | Specific colour, artwork, component or packaging changes. | That an unresolved change or missing pack is already accepted. |
| Approval / golden reference | The agreed configuration and appearance used for later comparison. | That sample approval proves all production units or replaces the quality plan. |
FOUR REVIEW PASSES
01 / REVIEW GATE
Check that the sample matches the stated model, material direction, components, artwork revision and packaging level. List anything that is illustrative rather than final.
02 / REVIEW GATE
Handle, open, close, drink, pour or carry as the intended user would. Inspect lid and gasket fit, stability, edges, component assembly and cleaning access relevant to the SKU.
03 / REVIEW GATE
Evaluate surface condition, finish, colour direction, logo size and placement, printed detail and accessory appearance under consistent viewing conditions.
04 / REVIEW GATE
Mark each item approved, approved with a defined change, or requiring a new sample. Attach photos, dimensions and the exact file or reference used for the decision.
THE DISPOSITION
01 / APPROVED
State the accepted product configuration and files. Identify what the approval covers and link the physical reference to the written record.
02 / CHANGE REQUIRED
Describe the exact change, reference and owner. Agree what evidence or revised sample is needed before that point can be closed.
03 / RESAMPLE
Identify why another sample is required and what must be corrected. Do not carry forward a known unresolved point as fully approved.
These are a buyer decision framework—not a fixed Golmate release policy. The approval scope and commercial next step should be agreed for the project.
READY-TO-USE REVIEW RECORD
Use the fields alongside as a working sign-off record. Add the detail needed for your product; keep current files, marked photos and physical references linked rather than scattered across chat messages.

| Field | Record |
|---|---|
| Project / SKU | Product model, variant and market |
| Sample identity | Sample ID, date and revision |
| Configuration | Body, lid, handle, seals and included parts |
| Controlled files | Drawing, artwork and packaging revisions |
| Review result | Function, appearance, decoration and packing comments |
| Disposition | Approved / condition / new sample required |
| Open actions | Exact change, owner and verification required |
| Approval scope | Approver, date and the points covered |
The approval pack should not live in one person’s inbox. Keep the sample identifier, marked photos, current artwork, component list and disposition together, then name which team owns each open point. A buyer can approve the appearance while quality still needs to agree a SKU-specific inspection question; those are separate decisions. Before production handoff, confirm that every team is referring to the same revision and that any condition attached to approval has a documented closure route.
If a later colour, lid or packaging change is requested, compare it with this baseline and decide whether a new physical sample is necessary. A controlled approval record is more useful than a message saying the previous sample was ‘close enough’.

COMMENTS THAT CAN BE ACTED ON
| Vague comment | Useful instruction |
|---|---|
| Make the logo smaller | Specify the target width and centreline on the current artwork placement. |
| The colour is wrong | Name the physical reference and request a new appearance review. |
| The lid feels loose | Identify the fit issue, closure action and agreed comparison point. |
| Improve the packaging | Mark where movement occurs and state which restraint or insert needs review. |
Use numbered comments and marked images. If the artwork or components change, identify the new revision and which earlier approvals remain valid.
Separate sample approval from product testing and production inspection. Agree which methods, conditions, sample scope and records apply to the selected SKU and destination market. A good-looking sample alone cannot settle those questions.
No. A reference sample may only demonstrate a current model or direction. Its purpose and any non-final details should be stated before it is reviewed.
The appropriate approval approach depends on project risk, finish, artwork and programme size. Define which colours need physical confirmation and what shared references apply.
Use the product as intended and review the SKU-specific actions that matter—such as closure, drinking, pouring, carrying, standing and cleaning—along with visible and packaging points.
Use numbered comments, marked photos or drawings, exact dimensions and the current artwork revision. Avoid relying only on chat messages such as ‘same as last time.’
Approval is meaningful when the buyer states which configuration and files are accepted, records any conditions, and identifies what will be used as the baseline for the next stage.
It is the physical reference the buyer and supplier agree to use for defined product, visual or functional comparisons. Identify its exact configuration and approval status, and link it to the controlling specification, artwork and packaging files.
No. Sample approval establishes a defined reference. Incoming, in-process and shipment checks, and any required product testing, remain separate decisions linked to the selected product, market and agreed quality plan.
Record each change precisely and state whether it requires revised artwork, measurement confirmation or a new physical sample. Do not treat an unresolved change as a fully approved production baseline.
Send the product direction, known changes and the points your team needs to approve. Golmate can help clarify what the sample should represent before it is arranged.
